🎯 Event Vision & Objectives

This festival celebrates the conclusion of Club Week — our summer Bible program for kids — and serves as a community-wide celebration welcoming families in a fun, non-threatening environment.

Our Three Goals
  • Every guest feels welcomed, valued, and connected
  • Families experience Cityview as a warm, approachable community — not a program
  • Kids who attended Club Week see their church family celebrating them

The focus is community, hospitality, and relationship-building — not a church service or outreach program. Let the fun be the welcome. Let your presence be the message.

🏗️ Volunteer Org Structure
Chain of Communication Team Members → Team Lead → Area Coordinator → Assistant Director → Event Director

Event Director — Final authority on all event decisions. Handles escalations, emergencies, and major adjustments.

Assistant Director — Supports the Event Director. Manages volunteer coverage gaps, roams all zones, receives all coordinator broadcasts.

Area Coordinators — Each oversees a cluster of teams. Bridge between team leads and event leadership. Know your zone cold.

Emergency Response Lead — Stationed at command point. Coordinates Safety Team, manages all emergency protocols, liaises with any first responders.

🛡️ Child Protection Protocols
⚠️ These rules are non-negotiable for every volunteer.
  • Two-adult rule: No volunteer is ever alone with a child. Two adults must be present at all times in any interaction with a minor.
  • No photography of children without explicit parent/guardian permission. Photography & Social Media team coordinates this.
  • Lost child protocol: If a child appears lost — stay calm, stay with the child, immediately radio/text Safety Team and Welcome Team. Do not move the child from where you found them until a parent is confirmed.
  • Suspicious behavior: Report immediately to Safety Team Lead or Event Director. Do not confront alone.
  • Wristbands: Children should be wristbanded at registration. If a child is exiting without a parent and appears distressed, notify Welcome Team.
  • Inflatable safety: Enforce age/size limits. No roughhousing. Inflatables team has authority to remove any child for safety violations.
🚑 Emergency Procedures
Medical Emergency Call 911 first. Then notify Safety Team Lead and Event Director immediately via radio or phone. Clear space around the person. Do not move an injured person unless they are in immediate danger. First aid kit located at [LOCATION — fill in]. AED located at [LOCATION — fill in].
Lost Child — Bring to Welcome Tent Stay with the child. Walk them immediately to the Welcome Tent (Zone A). Radio Safety Team and Welcome Team simultaneously. Welcome Team secures all entry/exit points. Safety Team coordinates search. Do NOT make a public announcement until Event Director (Tiani) authorizes it. Reunification happens only at the Welcome Tent with verified parent ID. Do not release child to any adult until identity is confirmed.
Severe Weather Monitor weather throughout event. If lightning is within 10 miles or Event Director calls shelter: calmly direct guests to the church building immediately. Inflatables must be deflated and secured. Do not resume outdoor activities until all-clear from Event Director.
Fire / Evacuation Call 911. Alert Event Director and Safety Team. Calmly direct guests toward parking lot exits. Do not use church building if fire is inside. Assembly point: [LOCATION — fill in]. Account for your team members.

Emergency contacts (fill in before event):

  • Event Director: _______________
  • Emergency Response Lead: _______________
  • Church office / facilities: _______________
  • Nearest hospital: St. David's Round Rock — 2400 Round Rock Ave (approx. 5 min)
🍕 Food Safety Guidelines
Food & Beverage Team — required standards
  • Hand hygiene: Wash or sanitize hands every 30 minutes and after any non-food contact (phone, face, surfaces).
  • Gloves: Wear gloves for all direct food handling. Change gloves when switching tasks or after any contamination.
  • Temperature: Hot food must stay above 140°F. Cold food must stay below 40°F. Use coolers and chafing dishes. Check temps every 30 min.
  • Allergens: Know what's in every food item. If a guest asks about allergens and you're unsure — do not guess. Get the Food Team Lead.
  • Cross-contamination: Separate serving utensils for every item. Never use the same spoon for multiple dishes.
  • Sick volunteers: Anyone who is ill (especially with GI symptoms) must not handle food. Notify Event Director for reassignment.
  • Waste: Discard perishable food that has been out more than 2 hours (1 hour if above 90°F outside).
📸 Photography Guidelines
  • Photography team should wear lanyards or identifiable vests so guests know who they are.
  • Always ask permission before photographing children. A parent/guardian must verbally consent.
  • Group shots of crowds are generally fine; close-up or identifiable shots of minors require consent.
  • Social media posts during the event should be positive, energetic, and ministry-appropriate. No photos of guests in distressing or unflattering situations.
  • All photos should be shared with the church office after the event for archives and future use.
💬 Volunteer Expectations
  • Arrive on time — your call time is listed in this app. Late arrivals leave gaps your team can't cover.
  • Stay in your zone — don't leave your station without telling your team lead. If you need a break, coordinate coverage first.
  • Phone usage: Phones for this app only while on shift. Be fully present with guests.
  • Dress code: [Fill in — e.g., Cityview volunteer t-shirt / specific color]
  • Guests first: If you're having a personal conversation with another volunteer and a guest approaches, the guest wins. Every time.
  • You are Cityview's face tonight. Your warmth, energy, and genuine care is the ministry.
